| Description of duties: Under the supervision of CSU Scientist, N°9.8385, the incumbent provides administrative support to childhood cancer projects, as follows: 1. Communicate with some 500 cancer registries on behalf of the CSU Scientist in order to: - Autonomously follow-up on correspondence, issuing reminders, keeping track of status - Ensuring that all correspondence is dealt with - Organising mass mailings by post and e-mail using IARC's database of collaborators - Managing the mailbox dedicated to the childhood cancer studies (ccs@iarc.fr) 2. Support the editing of research publications by: - Searching for and retrieving references or information according to guidelines - Updating and maintaing EndNote database of references as requested - Organising physical documentation and references - Assisting with the editing research publications (proofreading, grammar, style) - Using styles and formats in conformity with a defined template or guideline - Providing administrative support for production flow and status follow-up - Follow-up with co-authors and editors as required 3. Provide technical help with research publications by: - Working with data files, exporting, importing and extracting relevant figures or information - Designing and formatting tables in EXCEL according to outlined desired output - Designing and formatting graphics according to outlined desired output - Editing existing routines in STATA software to produce multiple outputs - Assisting with PowerPoint presentations - Managing file-sharing network sites - Updating web-site contents according to instructions 4. In close collaboratio with IGO, support child cancer resource mobilization and project initiatives by: - Verifying eligibility of IARC for potential funding opportunities - Assisting with writing grants applications - Assisting with planning the budgets for validation by budget assistants - Monitoring and reporting on projects 5. Assist with the organization of internal and external meetings and incoming visits, including: - Planning (dates, place, logistics, equipment) - Ensuring the availability of technical documentation - Providing administrative support during the meetings 6. Manipulate the database of collaborators and master the use of the CIN portal in order to: - Create queries, lists and reports as per supervisor's instructions - Keep track of and record changes in contact details of the collaborators 7. Perform other related duties as required by the supervisor. | |
| REQUIRED QUALIFICATIONS | |
| Education: Essential: Graduation from secondary school or equivalent technical or commercial school and specialized training in fields relevant to the role. Desirable: Further training relevant to the role. | |
| Skills: Ability to rapidly acquire sound knowledge of the Agency's administrative procedures and of the scope of the work of the CSU Section. Good organizational skills. Ability to edit. Courteous, appropriate and timely communication. Cultural sensitivity and international awareness. Mastering relevant software; notably Microsoft Office Word, Excel, PowerPoint, SharePoint, Outlook and ACCESS. Web intelligence. Other relevant skills and knowledge would be an asset. | |
| Experience: At least four years of experience in the secretarial/clerical/administrative field, preferably in an international environment. Desirable: experience with type of duties described above. | |
| Languages: Excellent knowledge of English and a working knowledge of French. Knowledge of other languages would be an asset. | |
| Additional Information: This recruitment is restricted to candidates residing at the time of submitting their application, within a maximum distance of 50 kms from Lyon. Only candidates under serious consideration will be contacted for test and interview. Annual salary: Euros 35948, net of French income tax (before deduction of the employee share of private social insurances applicable at IARC, i.e. staff health and accident insurances and pension fund). This vacancy is open to applicants of either sex. WHO/IARC has its own Staff Health Insurance and Pension plans and is not part of the French Social Security system ("Sécurité Sociale"), the French Pension system or the French unemployment benefit agency("Pôle-Emploi"). |
